Energy management: the ultimate productivity hack

Adrian Penzhorn | Dietitian & Sport Scientist

Imagine this: it's 3 PM, you're staring at your to-do list, and despite having hours left in your workday, you feel completely drained.

Sound familiar?

This is where traditional time management falls short. Sure, you've blocked out time, but what if you're too exhausted to tackle that big project?

The secret to staying productive isn't just about how you manage your hours - it’s about how you manage your energy. By syncing your tasks with your natural energy highs and lows, you can do more in less time and avoid burnout. Let's dive into the science of energy management and why it could be the game-changer you’ve been missing.

What is energy management?

Energy management is about using your body’s natural rhythms to work more efficiently, ensuring that your energy levels are optimised throughout the day. While time management focuses on scheduling tasks within available hours, energy management prioritises when you’re physically and mentally at your best. You can improve energy management by understanding your daily energy peaks and lows and adjusting your tasks accordingly.

Managing time isn’t enough if you’re too exhausted to get through your to-do list. Energy, unlike time, is a renewable resource — but only if managed effectively.

How do you manage energy instead of time?

Think of energy management as working with your body, not against it. Here’s how to start:

  • Track your energy patterns: Pay attention to when you feel most focused and alert during the day. Is it the first thing in the morning or mid-afternoon? Everyone has different peaks.

  • Align tasks with energy levels: Once you know your peak times, schedule your most demanding tasks during those windows. Save low-energy activities (like emails) for your energy dips.

  • Take breaks strategically: Short, frequent breaks can recharge you. Try the 90-minute work cycle, followed by a 10-15 minute active break, to keep your mind fresh.

  • Stay hydrated and fuel properly: Energy slumps often have a lot to do with what (or when) you eat and drink. Stay hydrated and fuel your body with nutrient-dense meals to sustain energy. Ensuring your meals are a combination of protein, fibre and fat is where balanced nutrition begins.

Why does energy management matter?

Effective energy management doesn’t just improve productivity — it also helps you avoid burnout. Instead of forcing yourself through tasks when you're tired, you’re working smarter, not harder. By aligning your high-energy moments with high-priority tasks, you can accomplish more without overextending yourself.

The key benefits of energy management

  • Improved focus: You’ll be more attentive when working at your peak energy levels.

  • Higher productivity: Matching tasks with your energy results in completing more in less time.

  • Better wellbeing: Managing energy prevents fatigue and reduces stress, keeping you energised for longer.

  • Sustainable performance: You avoid burnout by respecting your body’s need for rest and recharging.

Knowing how to manage your energy rather than just your time will lead to more sustainable success. When you work with your body’s natural rhythm, you’ll get through tasks more efficiently, stay more focused, and maintain long-term productivity.
